Avoid the temptation to spout what management consultant\u00a0<strong>Richard E. Byrd<\/strong>, author of\u00a0<em>Say the Magic Words<\/em>, calls a \u201czinger,\u201d or a phrase that does more harm than good.<\/p>\n<p>Statements like \u201cIt looks like Ramona will be late as always\u201d do little to solve problems. Moreover, they frustrate employees and cause you to lose credibility and respect. This creates an unproductive and even hostile work environment.<\/p>\n<p>Instead, Byrd offers these suggestions to lead by example and keep everyone on track:<\/p>\n<ul>\n<li><strong><span style=\"color: #ffffff;\">Be as specific as possible.<\/span>\u00a0<\/strong>Avoid ambiguity with comments like \u201cJane, I think you\u2019re on the phone too much.\u201d Instead, emphasize the consequences of her behavior: \u201cJane, I\u2019ve noticed that you\u2019ve spent 30 minutes making personal calls each day. This is time you could be using to get claims submitted.\u201d<\/li>\n<li><span style=\"color: #ffffff;\"><strong>Focus on the problem, not the person.\u00a0<\/strong><\/span>Keep your attention \u2014 and your subordinates\u2019 attention \u2014 where it should be. Instead of saying, \u201cCurt didn\u2019t finish the report like I asked,\u201d ask questions that address the core problem. For example, \u201cThe report isn\u2019t finished. How does this affect our deadline? What are the consequences for our agency?\u201d<\/li>\n<li><span style=\"color: #ffffff;\"><strong>Know the time and the place.\u00a0<\/strong><\/span>Make sure that your comments are appropriate. Is it productive to publicly embarrass your employee? Consider saving your sharper comments for a private meeting where you can have a real conversation. In public, let the team know that you have confidence in them.<\/li>\n<li><strong><span style=\"color: #ffffff;\">Offer feedback without comparisons.<\/span>\u00a0<\/strong>If an employee is dedicated, tell her that. Don\u2019t say,<\/li>\n<\/ul>\n<p>\u201cYou\u2019re more dedicated than the rest of the department.\u201d Comparisons will only create rivalries among colleagues and leave some of your employees wondering why you didn\u2019t have anything good to say about them.<\/p>\n<ul>\n<li><strong><span style=\"color: #ffffff;\">Praise with consistency.<\/span>\u00a0<\/strong>Be the first one to praise an employee for her success, but don\u2019t do it if you don\u2019t mean it. Similarly, badmouthing employees behind their backs will travel around the agency.
